This position provides executive assistant and administrative support to the executive team. Responsible for general office administration for corporate offices.

Key Responsibilities

  • Greets visitors and provides excellent customer service for both internal and external customers. Responds to inquiries, phone calls (including the general head office phone lines), voicemail, and faxes and directs messages to the appropriate people
  • Manages the daily flow of incoming and outgoing mail including couriers and faxes
  • Monitors and maintains Outlook calendar events, meeting rooms, and conference line bookings
  • Coordinates meetings: books and prepares meeting rooms, prepares agendas and meeting materials, arranges catering, tidies the meeting room after meetings, and takes and distributes minutes including weekly operations call(s)
  • Helps support the Senior Management Team (SMT) as directed by the Senior Executive Assistant
  • Drafts, proofreads, edits, and updates documents, presentations, and reports
  • Makes travel preparations and reservations, secures accommodation, car services, and other related arrangements
  • Ensures relevant office spaces, meeting rooms, copy rooms and kitchen areas are tidy and stocked as needed
  • Arranges service orders for office equipment failures and maintenance
  • Acts as the liaison with office landlord
  • Coordinates office repairs, working with impacted teams/areas to ensure all issues are resolved and appropriate actions are taken
  • Coordinates parking available to attendees of the Burnaby corporate office including visitor and staff parking requirements
  • Communicates office related information to all staff located at Burnaby corporate office
  • Works with relevant stakeholders to organize office-related functions which include but is not limited to health and safety requirements
  • Monitors equipment, stationery, paper and toner levels and restocking/replacing these items at Burnaby Corporate Office
  • Coordinates office related purchasing through the Purchasing department, and where necessary, researches products and competitive pricing and orders products directly.
  • Completes expense report
  • Word processing, filing and other administrative duties as assigned
  • Assists executives in other departments as required.
  • Participates in projects and takes on other responsibilities as required.
  • Required to be available at all times including evenings and weekends to coordinate urgent and time sensitive meetings


What You Bring

  • 5 years of experience supporting senior managers as an Executive Assistant
  • Post-Secondary certificate or diploma in a relevant field or equivalent combination of education and experience
  • Proficiency skills in Microsoft Outlook, MS Office, Word, Excel, PowerPoint, Adobe Acrobat Professional and web browsers
  • Ability to establish and maintain positive working relationships with colleagues and external contacts to meet operational and departmental objective
  • Ability to communicate both verbal and written, along with experience communicating effectively to a diverse customer group
