What are we looking for?

The Senior Executive Assistant to the COO is responsible for providing high-level administrative support to the Chief Operating Officer (COO) of the company. The ideal candidate must be a self-starter, have excellent organizational skills, and be able to prioritize tasks effectively to ensure the COO's schedule is managed efficiently. The Senior Executive Assistant must be able to work in a fast-paced environment and be comfortable working under pressure, while always maintaining a professional demeanor. The Senior Executive Assistant must be proactive, able to anticipate the COO's needs, and demonstrate an elevated level of discretion and confidentiality.

What will you be doing?

  • Manage the COO's calendar, appointments, email communications, phone calls, and travel arrangements
  • Coordinate board meetings, client relations, and company-wide events
  • Assist in project management and company operations while providing regular project updates to the COO, identifying any issues or roadblocks, and proposing solutions.
  • Conduct research to support decision-making
  • Draft and edit correspondence, presentations, and legal documents
  • Oversee corporate communications, including speeches and social media content
  • Handle confidential information with discretion
  • Manage travel, expenses, and office staff
  • Perform personal errands and assist with family and estate management as needed

What qualifications and skills do you need?

  • Bachelor's degree or equivalent experience in a related field
  • Minimum 5 years of experience as an executive assistant, preferably in a senior role
  • Experience in privately held companies or family office is an asset
  • Exceptional organizational, project management, and multitasking skills
  • Strong interpersonal and communication skills, both written and verbal
  • Proficient in Microsoft Office Suite and other relevant software
  • Flexibility to work outside of standard business hours as needed
